Terms and Conditions for Speech and Language Therapy

Please read these terms and conditions carefully before your child begins speech and language therapy with Peak Therapy Ltd. By completing and signing the relevant consent form, you confirm that you have read, understood and agree to the terms set out below.

If you have any questions about these terms, please contact Peak Therapy Ltd before assessment or therapy begins.

This summary highlights the main terms for speech and language therapy with Peak Therapy Ltd. It is intended as a quick guide only and should be read alongside the full terms and conditions below.

· Therapy sessions take place at an agreed location, such as the child’s home, school or nursery.

· Sessions are charged per session rather than per hour and usually last between 30 and 45 minutes.

· A £50 deposit is required to secure the initial assessment, and ongoing sessions must be paid for in advance.

· Mileage is charged separately at 55 pence per mile from SK17 where applicable.

· At least 24 hours’ notice should be given for cancellations wherever possible.

· Late cancellations may be charged at the therapist’s discretion, taking individual circumstances into account.

· Consent must be provided by the child’s legal guardian before assessment or therapy begins.

· Clinical records will be kept securely using a GDPR-compliant system.

1. Therapy Sessions

1.1 Therapy location

Therapy sessions will take place at a location agreed in advance before sessions begin. This may include the client’s home, school, nursery or another suitable setting agreed by both parties.

If the therapy location needs to change, Peak Therapy Ltd will provide more than 24 hours’ notice wherever possible. Any required mileage adjustment will be made accordingly.

1.2 Therapy duration

Payment is made per session, not per hour. The length of each session will depend on your child’s needs and presentation on the day. Sessions will be no less than 30 minutes and no more than 45 minutes.

Session fees include reasonable feedback time provided to parents or carers.

1.3 Additional therapy time

Additional therapy time may be agreed during a session in 15-minute increments, subject to the therapist’s availability. Where additional time is agreed, the invoice will be amended accordingly.

2. Fees and Payment

2.1 Fees

Services and fees will be agreed by both parties before the first session. Fees include the therapist’s preparation, planning, therapy-related administration and invoice processing.

2.2 Deposit

Peak Therapy Ltd requires a £50 deposit to secure the initial assessment session. Following the assessment, payment for ongoing sessions will be taken on the day of each session unless otherwise agreed.

If a payment is missed, services will be suspended with immediate effect until payment has been received.

2.3 Mileage

Mileage will be charged in addition to the service fee at 55 pence per mile from SK17.

2.4 Payment terms

All sessions require payment at least 24 hours before the scheduled appointment. A session is not confirmed until payment has been received.

Accepted payment is by bank transfer.

2.5 Non-payment

If advance payment is not received, the session will not be able to proceed.

3. Cancellations and Rescheduling

3.1 Client cancellations

If you need to cancel a session, please provide at least 24 hours’ notice wherever possible.

If payment has already been made and the session is cancelled with 24 hours’ notice or more, the fee will be retained and applied to the next scheduled session. A new invoice will not be issued for that following session.

If a session is cancelled with less than 24 hours’ notice, the full session fee may be charged at the therapist’s discretion, taking individual circumstances into account.

3.2 Therapist cancellations

If the therapist cancels an appointment for any reason, the fee will be retained and applied to the following session. No cancellation fee will apply.

3.3 Rescheduling sessions

If you need to reschedule a session and the therapist has availability, no cancellation fee will apply. The session will be moved and the payment will be applied to the rescheduled appointment.

This applies only where the session is moved to another day or time within the same week. Sessions postponed to the following week will be treated as cancellations and the cancellation policy will apply.

3.4 Child sickness

Peak Therapy Ltd understands that children can become unwell at short notice and that it may not always be possible to provide the full cancellation notice outlined above.

Please be honest about the reason for cancellation. If you are unsure whether your child will be well enough to attend a session, please provide as much notice as possible so that the session can be rescheduled where appropriate.

4. Appointment Availability

4.1 Normal appointment times

Appointments are available Monday to Friday. The earliest appointment time available is 09:00 and the latest appointment time available is 17:00.

4.2 School holidays

Appointments during school holidays may be available on request, subject to therapist availability.

5. Consent and Clinical Records

5.1 Consent

Consent for assessment and therapy must be provided by the child’s legal guardian. Consent forms will be provided, and assessment or intervention cannot begin until the required consent forms have been signed.

By signing the consent forms, you agree to the terms and conditions set out in this document.

5.2 Record keeping

Peak Therapy Ltd will keep only the records required for ongoing clinical intervention and lawful business purposes. Therapy records will be stored online using a GDPR-compliant system.

5.3 Privacy and information sharing

Peak Therapy Ltd will collect only the information required for clinical work and any information legally required. Further details are available in the Peak Therapy Ltd Privacy Policy.

6. School Services

Fees, service arrangements and related terms and conditions for school contracts will be discussed directly with the school. A contract will be agreed before school-based services begin.

7. Termination of Services

Peak Therapy Ltd may terminate services by providing 24 hours’ notice. The client may also terminate services by providing 24 hours’ notice.

8. Complaints

If you have a complaint, Peak Therapy Ltd will aim to resolve the matter directly with you in the first instance.
